What Financial Records Should a Small Business Keep?

Retention is only half the job
Most businesses keep more than enough documentation. The difficulty is retrieval. A record that cannot be located when a question arises provides very little value.
Documents worth keeping organized
General categories most small businesses should be able to retrieve quickly:
- Bank and card statements for every account
- Vendor invoices and payment confirmations
- Customer invoices and receipts of payment
- Payroll and contractor records
- Contracts, agreements and recurring authorizations
- Reconciliation records and month-end notes
Structure beats volume
A folder structure organized by year, then by month, then by document type is unglamorous and extremely effective. Consistency in naming matters more than the naming scheme itself.
