Reconciliation
How Often Should You Reconcile Your Business Accounts?
Monthly is the common answer, but the right cadence depends on transaction volume, the number of accounts and how quickly you need answers.

The default answer, and when it is wrong
Monthly reconciliation works for many businesses because it matches the rhythm of bank statements. For businesses with high daily transaction volume, waiting a full month can mean sorting through hundreds of items at once, and a discrepancy from the first week may take considerable effort to trace.
Signals you should reconcile more often
A few patterns suggest a shorter cycle is worth the effort:
- High daily transaction counts across card and bank activity
- Several accounts serving different parts of the business
- Frequent refunds, chargebacks or adjustments
- Recurring questions about whether a payment actually cleared
What a good reconciliation looks like
A reconciliation is finished when every item on the statement is matched to a recorded transaction, every recorded transaction appears on the statement, and anything left over has a written explanation.
The written explanation matters. Unresolved items that carry forward without a note are the most common source of month-end confusion.
Building the habit
Whatever cadence you choose, put it on a calendar and keep the same order of operations each time. Consistency does more for accuracy than any single tool.
